Is it time to move from Excel to ERP?

Answer 12 questions based on what actually happens in your business today. The test shows where your files fall short and where it makes sense to start. It takes two minutes.

1.The same information (customer, order, product) is entered separately into more than one file or program.

2.Which Excel file is the latest version is sometimes up for debate.

3.To answer "Where is this job at?" someone has to make a call or go out to the site.

4.You don't know what's in the warehouse without a stock count, or the records and the shelves don't match.

5.Preparing a quote takes more than half a day, or old quotes can't be found.

6.You can't say in numbers which job, product or customer actually makes money.

7.Preparing the month-end report or management summary takes someone a day or two.

8.When an employee goes on leave or quits, nobody knows how a piece of work is done.

9.Information from the field team (site, service, sales) arrives at the end of the day or the next day.

10.When receivables will be collected and how much cash you'll have in the coming weeks is a guess.

11.Missing materials, wrong shipments or missed deadlines happen several times a month.

12.You're planning a new branch, a new product line or a bigger team in the next year or two.

How is the score calculated?

Each question scores 2 for "Yes", 1 for "Partly" and 0 for "No". 0–6 points means your files still carry the business, 7–14 means they fall short in several areas, and 15 or more means the problems have spread across the whole business. The areas where you answered "Yes" are listed as the ones to look at first.

An ERP or business management system brings all these areas into one set of records: information is entered once, everyone sees the same up-to-date numbers and reports come out on their own. But you don't have to switch everything at once. More on this in the Excel to ERP article.

Frequently asked questions

My score came out high. Should I buy an ERP right away?

No. First look at which areas the problems cluster in. In most companies one or two areas hurt the most; starting the move there lowers both the risk and the cost.

We're a small company. Is this for us?

Headcount matters less than how many places the same information is kept and how much the work depends on particular people. A 10-person company runs into exactly the same problems.

Are my answers saved?

Not unless you send them. The test runs in your browser. Your answers reach us only if you fill in and send the “Evaluate my result” form.
