Sales & Quoting

Why preparing a quote takes hours — and how to get it down to minutes

22 July 2026·5 min read

In most companies the quote is the heart of the sale. Yet it is often also the slowest, most error-prone process, and the one most often done "from memory". The faster and more consistently a quote goes out, the higher your chance of winning.

Why does a quote take so long?

The cause is not one big problem; it is the sum of small frictions:

A slow quote is not just lost time. A quote that arrives late is, more often than not, a quote that is lost.

What does a standard quoting engine change?

The work turns from a process in which quotes are "written" into one in which they are "generated":

Products and prices in one place

The catalogue, the current list price and the cost are in the system. You select the item; price and cost come up automatically.

Margin and profit visible immediately

Unit profit, cost and margin on every line; total profit at the bottom of the quote. The answer to "what do I make on this job?" is in front of you as you send the quote.

Exchange rates and terms handled automatically

The exchange rate, warranty, payment terms and scope clauses are built into the template; they come out with the same rigour in every quote.

A branded, consistent quote with scope and included/excluded items clearly stated — in minutes.

An example: engineering and automation work

This is even more critical on projects where man-hours, materials and margin are intertwined. In a KNX or automation quote, being able to see total man-hours, material margin and cost on one screen lets you price correctly and know where you stand in the negotiation. We have set up exactly this at companies such as MES Mühendislik.
