Do your quote, invoice and delivery note reflect your brand?
Say "brand" and people think of the logo and the website. But what your customer holds most often is neither your logo nor your site — it is the quote, the invoice, the delivery note. These documents change hands many times a day, and most companies never design them at all. They are the most seen and least considered face of your brand.
What do your documents say?
A badly aligned quote in Word, a delivery note filled in by hand or an invoice that looks different every time sends the customer a subconscious message: "This company doesn't pay attention to detail." When the same information arrives in a consistent, branded document, the message is reversed: "This company takes its work seriously."
The form of a quote sells as much as its content. The same price looks expensive in a messy document and justified in a tidy one.
Which documents can be designed?
A company's daily operation is really a flow of documents. All of them can be part of your corporate identity:
- Sales: quote, pro forma invoice, price list, invoice, delivery note.
- Operations: shipping/delivery slip, work order, service and installation report, quality control form.
- HR: job application form, payslip, leave and salary advance form, performance appraisal.
When all of them are designed in the same visual language — the same logo placement, the same typography, the same layout — your company looks consistent at every point of contact.
An important distinction: design does not have to be tied to a system
Designing these documents does not have to mean implementing an ERP. We can deliver them in three ways:
- As Excel files / templates — keep working the way you do now, only with a more professional look.
- Ready-made PDF templates — documents you fill in and send, and that look the same every time.
- Built into your ERP — if Odoo or the system you use allows it, documents come straight out of the system, branded and automatic.
In other words the design is independent; it can work separately from the system or integrated into it, as you prefer.
What happens when it is built into the ERP?
If your documents come out of the system, the design is done once and stays consistent for good. A new quote, a new delivery note — all produced from the same branded template with no manual effort. This is exactly what we set up for engineering and manufacturing companies: branded quotes and shipping documents, straight from Odoo.
